External Users

External users are known as “Guest” users within ParentSquare. 

ParentSquare “Guests” are users who are not syncing nightly from your Student Information System (SIS). A district & school can use ParentSquare Groups to communicate with community members about specific types of communication. ParentSquare intentionally protects access to your district & school’s communication by limiting access to SIS syncing families and staff. The Guests feature allows an administrator to add non-SIS syncing users to ParentSquare Groups in order to expand access to targeted types of information.

 

There are 2 ways to add Guests to ParentSquare Groups

  1. Admin manually adding Guests to a district or school Group
  2. Allow community members to self-enroll in a ParentSquare Community Group

 

Use Guests for: 

  • School board members who need updates on school activities
  • Walk-on coaches and volunteer coordinators
  • Nonprofit partners that support your school
  • Neighborhood supporters and community advocates
  • Grandparents who want to stay informed about school events
  • Business partners and mentorship program volunteers
  • Former teachers or alumni who support current programs

  • Managing Groups in ParentSquare

  • Adding Guests to a ParentSquare Group

  • By default, Guests will be able to receive notifications by email only. Contact Support to add the option for text and voice. 

    Send Posts to Guests

  • Guests are included as part of your school or district subscription. Most schools can add Guests without additional charges.

    Additional charges may apply only if your school or district exceeds the included limit for Guests receiving text or voice notifications. ParentSquare includes up to 10% of your enrollment for Guests receiving text or voice notifications. See the ParentSquare School Agreement (Section 5.5) for details. 

    To check your current usage: 

    1. Go to Admin > Data Assistant > Guests. 
    2. Review Total guests with phone, which shows how many Guests may receive text or voice notifications.

  • Community Groups are a type of open group designed to include both ParentSquare users and individuals without an existing account, allowing anyone in your community to join and stay informed.
